COASTAL SCHOLARS
Privacy Policy
Coastal Scholars respects your privacy. This policy explains what we collect, how we use it, and the choices you have.
1) Who We Are
Coastal Scholars (“Coastal Scholars,” “we,” “us,” or “our”) provides tutoring and academic coaching services. This Privacy Policy applies to our website, scheduling pages, intake forms, communications, and related services.
2) Information We Collect
We collect information in three main ways: (a) information you provide directly, (b) information collected automatically when you use our website, and (c) information from service providers used to run our operations.
A. Information you provide
- Contact information: parent/guardian name, email address, phone number.
- Student information: student name, grade level, school, academic needs and goals.
- Scheduling details: appointment time preferences and availability constraints.
- Intake form responses: learning preferences, areas of difficulty, relevant academic context.
- Communications: messages you send to us (email, text, website form submissions).
B. Information collected automatically
When you visit our website, basic analytics and server logs may automatically collect information such as: IP address, browser type, device type, pages viewed, approximate location (city/region), and general usage patterns. This data helps us maintain site security and improve performance.
C. Information from service providers
We use trusted tools to operate our services (e.g., scheduling, forms, email). These providers may process information on our behalf in order to deliver their services.
3) How We Use Your Information
We use information for the following purposes:
- To schedule consultations and tutoring sessions.
- To review intake information and match students with the right tutor.
- To prepare for sessions and create specialized learning materials and worksheets based on student needs.
- To maintain internal session notes/logs for continuity and progress tracking.
- To communicate about scheduling, services, and administrative needs (e.g., confirmations, reminders).
- To improve our website, offerings, and overall service quality.
- To protect against fraud, abuse, or unauthorized access.
4) Scheduling and Calendar Privacy (Free/Busy)
We may use Google Calendar Appointment Scheduling to allow families to book consultations. When scheduling is enabled, our booking page shows available times based on our calendar. Busy events block availability. The details of our calendar events are not shared publicly; only open times are shown.
Your booking confirmation may include logistical details (time, date, meeting location/link) and any information you provide during booking.
5) How We Share Information
We do not sell your personal information. We share information only in the following circumstances:
- With tutors and internal staff who need it to provide tutoring/coaching services.
- With service providers (e.g., scheduling, forms, email systems) who process data on our behalf.
- For legal reasons if required to comply with applicable law, regulation, or legal process.
- To protect rights and safety of Coastal Scholars, families, students, and the public.
6) Children’s Privacy
Our services are intended to be arranged by a parent/guardian or an adult student. We may collect student information provided by a parent/guardian for tutoring purposes. We use this information only to deliver educational services, support learning plans, and communicate with families.
7) Data Retention
We retain personal information only as long as reasonably necessary for tutoring operations, records, and legitimate business purposes (including maintaining continuity of learning and progress). We may retain limited records to comply with legal, accounting, or contractual obligations.
8) Security
We take reasonable measures to protect information from unauthorized access, alteration, disclosure, or destruction. No system can be guaranteed 100% secure, but we aim to use reputable platforms and best practices suitable for a tutoring service.
9) Your Choices
- Access/Update: You may request to review or update your contact information.
- Deletion: You may request deletion of certain personal information, subject to legal or operational retention needs.
- Communications: You may opt out of non-essential messages by contacting us. (Scheduling and service-related messages may still be required.)
- Cookies: You can limit cookies through your browser settings. Some site features may not function properly if cookies are disabled.
10) Third-Party Links
Our site may link to third-party websites or embed third-party tools (e.g., scheduling pages, forms). We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.
11) Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised “Last updated” date. Continued use of our services after an update constitutes acceptance of the revised policy.
